Report May 2025

The Design Review Committee has not formally met since the last meeting. Due to our schedules, however, we communicated via email.

Report on Goals:

  • Homeowners were notified in March that the annual review would be conducted in April.

    • Many thanks to Design Review Committee members Rich Martinez and Greg Smith, as well as Board President John Mockoviak, in completing the review.

    • Homeowners were promptly notified of any non-compliance issues.

    • Nearly all the homeowners who were contacted about non-compliance issues have responded to the DRC with remediation plans.

  • The DRC shared its review of the current published Design Review Guidelines and suggested updates at the May 21 Board meeting. The revision draft DRC also included new guidelines for water features.

Updates:

  • Unit 2024 (Martnez) completed a roof replacement.

  • Unit 2022 (Wilhoyte) has inquired about roof replacement.

February 2025

The Design Review has not formally met since the last meeting. Due to our schedules, we have communicated via email. Our goal for the coming year is to:

  • Continue to have good communication with the homeowners.

  • Set a date for the annual review and share the date well in advance of the review. Last year the date was shared in March and the Annual Review was in April.

  • Review all the Design Review Guidelines to see if any need to be updated, added or removed.

Updates on Projects include:

  • Unit 2042 applied for replacement windows. The committee approved a new brand, Marvin Windows, so the project could be completed. The replacement windows will be completed the week of Feb. 24.

Design Review Committee Report
September 2024

Due to Design Review members’ schedules, this committee has not formally met since its last meeting, however members of this committee communicate regularly via email.

Project Updates include:

  • Unit 2027 owners applied for deck repainting. The application was approved, and the homeowners expect the project to be completed in mid-September.

  • Unit 2037 owners replaced their roof.

  • Unit 2042 owners added an above ground pool to their courtyard. While there are no guidelines in Mayfair of McLean’s Bylaws or Design Guidelines at this time for water features, the DRC addressed concerns for drainage from the pool. Homeowners were asked to show proof of the necessary Commonwealth of Virginia and Fairfax County permits for such a water feature.

  • Unit 2042 owners also have applied to replace the windows on their unit.

Homeowners are reminded to please contact the DRC before undertaking any exterior project to determine if an application to complete the project is required. This advanced contact makes it easier for the homeowners and the committee.

June 2024

Due to members’ schedules, the Design Review Committee has not met formally since the last meeting, although members communicate regularly via email.

The DRC conducted the Annual Community Review on April 26. Homeowners received email notice of the review on April 7th and what types of infractions the committee would be checking for.

Overall, the Mayfair of McLean community looks great. Only five of the 36 homes showed minor infractions, the most common of which were front garden issues. One bay window that needed repairs, and the homeowners have been notified. All of these issues are being addressed.

The DRC continually monitors Mayfair of McLean’s Design Review Guidelines and makes editing recommendations as needed. The DRC plans to research and consider synthetic shingles as an acceptable option for future roof replacement material.

Project updates include:

  • Unit 2041 had a gutter issue prior to the sale of the property, which has been repaired.

  • Unit 2037 had their roof replaced earlier this month.

  • Unit 2036 needed some gutter repairs and applied to have a gutter replaced. The work has been completed.

  • Unit 2027 applied for deck replacement and painting. The application was approved.

The DRC is sad to learn of Rick Jensen’s passing. Rick was a DRC member for many years, and his experience was very valuable to this committee. He will be missed greatly.

May 2024

Although the Committee has not met in person recently, the members continue to communicate via email.

The Community Annual Review was conducted on April 26. Homeowners were notified on April 7th of the review date and alerted to the usual types infractions the Design Review Committee would be checking.

Overall, our community looks great. Five homes had minor infractions, the most common of which were front garden issues. One bay window that needed attention. Homeowners have been notified.

Updates on other projects:

  • Several homeowners have inquired about replacing their roofs. A homeowner had inquired to see if we allowed the option of synthetic cedar shakes. The committee has reviewed information online and met with one company that offers these types of shakes. We are in the process of deciding and will be making a recommendation to the Association Board.

  • The committee will continue to review the Design Review Guidelines and make recommendations accordingly.

Februrary 2024

The Design Review has not formally met since the last meeting. We have communicated via email, due to our schedules. Our goal for the coming year is to:

  • Continue to have good communication with the homeowners.

  • Set a date for the annual review and share the date well in advance of the review.

  • Actively review the Design Review Guidelines and update them accordingly.

Updates on Recent Homeowner Projects:

• The base of the columns at 2053 has been repaired. In cleaning out the gutters, the homeowners determined they needed to also replace the roofwhich has been completed.

• Bethany Jones at #2001 finished having her windows replaced, completing the original application.

• A question about the rusty trash cans at the mailboxes was discussed and addressed.

Design Review Committee Report

Although the Design Review Committee has not formally met since June, we have accomplished the following:

  • Approved an application for 2039 (Haywood) to replace windows on the rear of the unit.

  • Resolved the application for 2042 (Zhang/Shu) to install a security camera and flood lights above the garage doors. Although the DRC initially approved the installation of a surveillance camera, after the install was complete, it was evident that the camera had two very bright, motion-activated flood lights and a camera that was larger than designated by the Design Guidelines. Mayfair of McLean Association’s Design Guidelines prohibit flood lights.

    Since this was a DRC oversight, the DRC offered to cover a reasonable cost of installing a new appropriately sized camera. The appropriate camera has been installed, but at this time, we have not received an invoice from the homeowners.

Update on Annual Review

The DRC observed that the base of the front porch columns on 2053 (Parankusam/Ranade) is rotting and needs repair. The owners have been notified and have indicated that they will make the needed repairs.

Design Review Committee Report

Although the Design Review Committee has not formally met since its last meeting, we have:

  • Conducted the Annual Walk-through the community.

  • Approved two applications by 2042 (Zhang/Shu) to

    • Install a surveillance camera above the garage door
      Add brick pavers around the small tree next to the front gardens (note: the pavers will match the ones in the driveway)

Update on Projects
The DRC approved several applications for new windows at several homes. The window installation at #2001 (Jones) has been completed.

Results of the Annual Review
Overall, the community standards were met, and everything looked great. We believe the increased communication with regards to the review and expectations has increased homeowners’ awareness of these. Non-compliance issues were very minor and were related to weeds in the front gardens and missing screens. Instead of issuing non-compliance notices, the Committee decided to give homeowners the opportunity to make necessary adjustments.

Design Review Committee Report
January-February 2023

The Design Review committee met via Zoom on Jan. 28, 2023. The purpose of the meeting was to set goals for 2023.

  • Provide the community with an email explaining the scope and timing of the 2023 review by the end of March.

  • Scheduled the 2023 Community Review for late April to late May. The tentative date for the review is scheduled for May 13 at 4:00 pm.

  • Make community-wide general recommendations based on the 2022 findings and board member input.

Update on Projects:

  • The application that was submitted for the front gardens and driveway at 2040 (Bah) is complete and looks nice.

  • The non-compliance issues at 2003 (Kim) have been resolved.

  • The DRC approved several applications for new windows at several homes. To my knowledge the work at 2011 (Arora) and 2001 (Jones) have not yet been completed due to shortage of available windows. An inquiry with both homeowners indicates that windows will be available in April.

  • Work has been observed to be happening at 2018 (rental). No applications received, so it is assumed that this is painting etc. Note: painting has started on the garage door, but the color is not the current trim color. The DRC will observe to see that the guidelines are followed.

October 2022

Although the Design Review Committee has not met in person since the August Board meeting, below are some updates on Design Review Committee activities:

  • An application was approved for improvements that include updating the front garden bed and improving access to the front steps from the driveway (Unit 2015) is complete and looks nice.

  • A question was raised about whose responsibility it is to repair the downspout and improve drainage issues at Unit 2001. The Board determined that it is the owners responsibility for the blockage even though it drains into the pond.

  • All non-compliance issues have been addressed except for one home. The committee has communicated with the homeowner who replied that, while some issues have been resolved, the required work is in progress and the DRC will be notified when it is completed.

July 2022

Since the June 2022 HOA board meeting, the Design Review Committee has not met. Mary Ann has been monitoring the responses to the Design Review Committee’s Non-Compliance notices. I have also communicated via email regarding responses to these and other questions from homeowners. Primarily of what is allowed in the guidelines regarding minor projects and where to find recommendations for services.

We have not had any new applications for home improvements.

More recently there have been a couple of concerns regarding security in the community. Many residents have some type of security camera(s) and/or security lighting at their residences. Our Design Review Guidelines allow for such devices, especially since most of these are small in nature such as doorbell cameras, and other security cameras / motion lighting around the garage doors and premises. Reference: Lighting G.26 and G. 30 Security Devices and Outside Speakers.

I believe we live in safe neighborhood. I would like to propose to the board that we consider the following:

Aamend the lighting guidelines to include motion lighting as an option for security lighting that would enable homeowners to us motion and/or smart light bulbs in existing carriage lights and porch lights which would address standard number 5 of G.26 Lighting

  • Amend the security devices guidelines to clarify that security cameras are considered a security device. Most security devices outside of a home are not technically “alarms” and most control boxes/keypads are inside a home or on a smart device.

  • Consider posting a sign at the entrance of the community that there are cameras in the community. This is a fact. This way everyone can be proactive, and the burden of monitoring is not put on one or two individuals. I tend to shy away from “surveillance” as technically not was watching all the time or monitoring the cameras.

Note: As chair of the committee, I would take this information back to the committee for considerations.

Most of the non-compliance issues were minor in nature and have been or are being addressed, except for Unit 2003, which incidentally is a rental unit, continues to be an issue which was recently brought to my attention again. A follow up email with photos outlining the issues that still need to be addressed has been sent to the owner, along with my willingness to speak with him for further clarification to answer any questions via telephone.

The Design Review Committee met on April 4 in via Zoom for a meeting regarding changing the timeline for the 2022 Annual Review and other pertinent items regarding Design Review concerns. We have also communicated via email regarding requests from homeowners for projects.

New requests for home improvements:

  • Approved application for the planting shrubs in the front garden 2026 (Owens/Wang)

  • Patio renovation staging space for 2035 (Jensen)

  • Patio renovation staging space for 2016 (Li)

  • New Roof staging space for 2019 (Sirlon)

  • Approved application for front door color and replacement windows for 2011 (Arora) Note: The request to replace lighting is pending approval of recommended replacement lighting from the HOA Board. 2011 (Arora)

  • Confirmed Design Review Compliance for unit 2040 (Roop).

  • Confirmed Design Review Compliance for unit 2015 (Gallagher)

Design Review Committee Meeting

April 4, 2022

Present: Mary Ann Cole, Richard Martinez, and Rick Jensen

The committee met via Zoom at 5:30 pm on Monday, April 4, 2022.

Mary Ann shared with the committee the charge and recommendations that were shared at the February 16, 2022, HOA Board meeting.

In response to the recommendations:

  • Due to unforeseen circumstances the request to provide the community with an email explaining the scope and timing of the 2022 review was not able to be met by the end of March deadline. Action item: Mary Ann will draft a letter to share with the committee and board for approval for sending out to the community.

  • The committee agreed to find a suitable date to complete the community review by the end of May (or by the end of June at the latest). Action item: Confirm date for the review.

  • Discussion was held on the topic or replacement lights for outside the garages. The HOA Board will not issue a community-wide replacement but will ask the DRC to notify homeowners if there is a need to replace the lights. Several examples of lights were reviewed, and a recommendation was made for two suitable replacement lights. Once approved by the HOA Board, the members of the community will be notified, and the DR Guidelines will be updated. Action Item: Lighting approval from the HOA Board.

  • Include in the email that will be sent to the community, will be a notice of frequent violations that can be easily addressed as well as to specific items the DRC annual review will be checking (i.e., gutters, facia board trimmings, painting, windows, etc.).

We reviewed an application from the homeowner of 2011 (Arora) for painting of the front door, replacing windows, and outside lighting (garage and hanging light by front door). The painting for the front door and replacement windows were approved. Pending: Lighting – waiting approval from the HOA Board on lights.
